Treatment Coordinator - Treatment Insurance Coordinator
Location: Advanced Dentistry of South Florida – Delray Beach, FL
Schedule: Full-Time On-Site - Paid Working Interview Required
Summary:
We are seeking a highly organized, experienced, and detail-obsessed Treatment Insurance Coordinator to oversee all financial interactions with our patients. This role is vital to ensuring transparency, trust, and efficiency in the treatment planning and payment process.
Our doctors and patients expect a high level of professionalism, accuracy, and follow-through. You must be able to confidently present complex treatment plans, explain insurance benefits clearly, and maintain airtight financial documentation, all while creating a five-star experience for our patients.
Key Responsibilities:
Financial Presentation & Insurance Breakdown
- Present treatment plans with confidence, empathy, and transparency, ensuring patients fully understand what their care entails — both clinically and financially. Your role is to guide patients through the process, not sell them treatment.
- Translate complex insurance benefits into plain language, clearly outlining what is covered, what isn’t, how deductibles and co-pays apply, and what the patient’s financial responsibility will be.
- Submit pre-authorizations and predeterminations promptly and accurately, anticipating turnaround times and following up as needed to prevent scheduling delays or benefit denials.
- Set clear financial expectations upfront, including payment options, timelines, and potential out-of-pocket costs, so patients are never caught off guard or confused about their responsibility.
- Build trust during financial discussions, especially with patients receiving extensive or high-cost treatment. Offer solutions, not pressure.
- Document all financial conversations in the patient record to ensure continuity, avoid misunderstandings, and protect the practice’s financial integrity.
Treatment Tracking & Case Coordination
- Monitor active cases to ensure treatment is progressing toward completion
- Follow up on unscheduled treatments, track remaining benefits, and re-engage patients
- Proactively prevent overpayments or delays that can lead to refunds
- Coordinate seamlessly with the scheduling coordinator and billing team to maintain alignment on patient care and revenue flow
Billing Compliance & Documentation
- Ensure accurate posting of procedures in Dentrix based on completed treatment
- Assist with correct coding and benefit application
- Maintain meticulous financial notes and backup documentation for each patient
- Communicate with external billing teams as needed to resolve discrepancies
Patient Experience & Communication
- Deliver a calm, confident, and non-salesy approach to financial conversations
- Help patients understand the value of treatment, not just the cost
- Stay calm and solution-oriented if financial concerns arise
- Maintain professionalism, confidentiality, and empathy in all patient interactions
Required Skills & Experience:
- 2+ years of experience in dental treatment planning, insurance verification, or patient financial coordination
- Proficiency in Dentrix, insurance portals, and digital patient records
- Strong understanding of CDT codes, PPO breakdowns, and dental terminology
- Exceptional communication and problem-solving skills
- Detail-oriented and deadline-driven, you don’t let things slip through the cracks
Preferred:
- Experience in a high-end, multi-specialty or concierge dental practice
- Background working with complex cosmetic or full-mouth reconstruction cases
- Familiarity with flexible payment solutions or financing platforms
